Stop.
Before you hand over that deposit — which is typically $3,000 to $10,000 and often non-refundable — there are things you absolutely need to ask. Not because venues are trying to hide things from you, but because you genuinely cannot know what you're agreeing to if you don't ask. A venue that looks perfect on paper can become a source of massive stress if you discover, six months later, that you can't bring in your own florist, that overtime kicks in at 10:30pm, or that the rain plan is basically "fingers crossed."

- What is the minimum table count or minimum spend? Most hotel ballrooms require a minimum of 15 to 30 tables. Smaller function rooms or restaurants may require a minimum spend. - What is the maximum capacity? Both seated and standing. You need to know the upper limit too.
- Do you host multiple events on the same day? Some hotels run two weddings simultaneously in different ballrooms. That means shared carparks, shared lobby, and potentially guests from two weddings crossing paths. Not ideal.

- What is the menu, and what tier is it? Ask to see the full menu for the package you're being quoted. What does the base price get you versus an upgrade? What are the upgraded menu options and their costs?
- Can we customise the menu? Can dishes be swapped? Can you add a dish for guests with dietary restrictions? What about halal or vegetarian requirements — is there a separate menu, or can it be incorporated?
- What's included in the audio-visual setup? LED walls, uplighting, spotlight, wireless microphones, sound system — ask specifically. Many venues charge extra for AV upgrades that couples assume are standard.
- Is there a suite or room provided for the bridal party to prepare? If yes: where is it, how large is it, and for how many hours? This matters more than you'd think on actual day.
The Numbers: Charges and Hidden Costs

Nett vs. ++ (the big one)

- Can we bring in our own soft drinks or juices? For guests who don't drink, having your own choice of beverages is sometimes a meaningful saving.
- What about a wedding cake? Is there a cake-cutting fee? Yes, this is a real thing. Some venues charge per slice if you bring in an external cake.
Overtime and Time Limits
- How long does the package run? Typically 4 to 5 hours for a dinner banquet. Know exactly when the clock starts (setup? First guest arriving? Dinner service?) and when it ends.
- What is the overtime charge? Rates in Singapore range from $500 to $2,000 per half-hour depending on the venue tier. The most common scenario: the dinner runs long because of a heartfelt toast, and suddenly you're paying $1,500 extra. Ask upfront and factor it into your timeline.
- Can overtime be pre-purchased at a discounted rate? Some venues allow you to add an extra hour upfront at a lower cost than paying for it on the night.

- What is the deposit amount, and is it refundable? Understand the full payment schedule: deposit now, balance by when, remainder on the day.
- What is the cancellation policy? What if you need to postpone? What happens to the deposit?
- Are there any other fees we should know about? Parking for vendor vehicles? Mandatory valet? Venue insurance? Flip-chart setup? It's worth asking directly.
Vendors: Who Can You Bring In?
This is a bigger deal than most couples realise. Some venues have strict vendor policies.
- Is there a preferred vendor list? Some venues require you to use only their approved caterers, florists, or photographers. Others have a list of "preferred" vendors who get easier access and setup. Ask whether these are mandatory or just recommended.
- Can we bring in our own florist and decorator? If florals and décor are important to you — and for most Singapore couples they are — you need to know whether you can hire your own team or whether the venue handles all décor (sometimes at a significant markup).
- Can we bring in our own photographer and videographer? The answer is almost always yes at hotels, but double-check for unique or heritage venues.

The Food Tasting
In Singapore, food tasting is standard practice before you commit to the full banquet menu. But you still need to ask about it.
- Is a food tasting included in the package? Almost all hotel and Chinese restaurant packages include at least one food tasting. Confirm this and don't assume.
- How many pax can attend the food tasting? Typically two to six people. Know this so you can plan who to bring (parents' input on the food is usually very welcome — and politically wise).
- When does the food tasting take place? Usually a few months before the wedding. Clarify the timing and whether you can request to sample upgraded menu items at the tasting.
- Can we request changes after the food tasting? If a dish doesn't meet expectations, is there any flexibility to swap it out?
Rain Plan and Outdoor Venue Contingencies

- What happens to the décor if we move indoors? Can your florals and setup be transferred? Or does it all have to stay outside?

- What is the scope of the venue coordinator's role on the day? Their job is typically to manage the venue side of things (catering, service staff, AV), not to run your wedding programme. If you want someone managing the full flow of the day, you need your own wedding coordinator.
- What if our assigned coordinator is no longer with the company by the time of our wedding? This happens more than you'd expect. Ask what the handover process looks like if staff changes.
- How many events will the coordinator be managing on our wedding day? If they're handling three events simultaneously, they can't be fully present for yours.
Contracts and Final Details
